Quotation request

Through the quotation request, the customer is enabled to request a quotation from the supplier. The quotation request contains structured information regarding the trade items that a customer wishes to purchase from a supplier for a specific project.

1 Playing rules for the quotation request message

  • If a working code is available for a particular project, it is obligatory to mention this in the quotation request. If the working code provides insufficient information, it is possible to include a description of the working code;
  • Delivery addresses can be indicated through a GLN. If only the coordinates of a location are known, these can be mentioned as well;
  • Via INCOTERMS the delivery terms can be indicated, under which the delivery shall take place. This is a mandatory information-field.

1.1 Uniqueness and status

  • It is obligatory to include a quotation request number in the message, to ensure:
    • That the message can be uniquely identified;
    • That the ‘match’ can be made between the quotation and the request;
    • That a connection can be made with the working contract number.
  • This number cannot be re-used, this is only allowed if a unique issue number is included as well;
  • The issue number is mandatory if the earlier-sent quotation request if forwarded again after modifications;
  • The customer can make it known in which phase the quotation finds itself through the ‘status’. With an ‘accord’ and ‘accepted with no modifications’ the quotation request shall be forwarded with a quotation number (and issue number), but without line information;
  • It can be indicated in the quotation request in which phase the project finds itself; pricing or performance.

1.2 Using the data

Within the quotation request, it is obligatory to include a date or period related to the delivery of the products. This might be done in two ways, either via a ‘delivery date’ or via a ‘date period begins’ and ‘date period ends’. Either one should be filled out.
